Venue Coordinator vs Wedding Planner

In this blog, we are going over the differences between the venue coordinator vs wedding planner (or wedding coordinator).  These terms are often confused, but a venue coordinator and a wedding planner  serve two distinct purposes!

Venue Coordinators

A venue coordinator works for the venue.  Accordingly, this person’s focus is the venue and its operation, and will coordinate everything for you from the venue’s side of planning. They’ll be able to answer all questions regarding the venue such as what is included in the rental, bar packages (if they do in-house bar), and rental times/pricing of additional hours.

Some other responsibilities of venue coordinators include:

  • Ensuring the venue’s policies and procedures are followed;
  • Managing logistics specific to the venue, such as access times, layout, and facility maintenance;
  • Handling venue-related details like tables, chairs, and in-house catering & bar (if provided); and
  • Acting as a point-of-contact for the venue’s staff on the wedding day.

The venue coordinator does have some limitations and typically does not assist with non-venue-related tasks such as timelines, vendor coordination, decor set up or managing the bridal party.

Occasionally there are venue coordinators who do some tasks similar to a wedding coordinator or planner, but just know they are going above and beyond what they are responsible for! It definitely should never be expected of them as they are handling a LOT more couples at a time than a wedding planner or coordinator does.

Wedding Planners

Wedding planners are there for you through it ALL – from  finding your vendors, to helping with the design, to creating a timeline. They are the ones to be with you through all of your decisions, providing you with their guidance and expertise.

Do I need more than a venue coordinator?

98% of the time, YES. Remember, the venue coordinator is only responsible for the venue – not your wedding.  It is your  wedding planner who is going to know every little detail about your day. You have been working with them for months, maybe even a few years, and they know exactly what you want your day to look and feel like.`

Wedding planners have experience at more places than just your venue, and are experienced enough to know how to handle different situations when they arise. They are on your side as well as that of your vendors, and will do everything they can to ensure your day is exactly how you want it to be.

Venue Coordinator vs Wedding Planner – the venue coordinator represents the venue, while the wedding planner represents the couple and their vision. Hiring a wedding planner ensures a more comprehensive and personalized approach, while a venue coordinator’s scope is more limited to the physical space and its operations.

For couples planning their wedding, both roles are valuable, but a wedding planner provides the peace of mind needed to fully enjoy the day.
